Job Description:
- Part-Time Lead Conversion Virtual Assistant (Entry Level)
- Reports to: Tailwinds AI Operations Manager
- Hours: Part-Time / Contractual (20 hours/week)
- Location: Remote – Philippines
- Start Date: Within 5–7 business days
Role Overview
Tailwinds AI is hiring a part-time, entry-level Virtual Assistant to support lead follow-up operations and basic project management tasks for AIOA and other internal Tailwinds AI initiatives.
Your primary responsibilities include contacting leads, updating CRM records, handling daily follow-up tasks, and assisting the Operations Manager with task tracking, documentation, and execution of small operational projects.
This role is ideal for someone who is organized, reliable, coachable, and able to follow structured workflows.
Key Responsibilities
1. Lead Follow-Up Operations
– Send daily SMS, email, and follow-up reminders using pre-written scripts
– Make basic call attempts following simple instructions
– Conduct same-day first-contact attempts
– Document all outreach attempts clearly and accurately
2. CRM Updating & Lead Tracking
– Update statuses in GoHighLevel (GHL) or Google Sheets
– Maintain clean and updated lead records
– Record daily notes, follow-up logs, and outcomes
– Tag and categorize leads correctly
3. Workflow & Automation Support
– Trigger automation workflows when required
– Use pre-built templates for communication
– Follow structured daily checklists and SOPs
4. Reporting
– Submit simple weekly reports summarizing:
– Leads contacted
– Follow-up attempts
– Notable outcomes or issues
– Flag urgent leads or problems to the Operations Manager
5. Project Management Support
– You will assist the Operations Manager in maintaining organization and progress across multiple projects.
Tasks include:
– Updating task boards (ClickUp, Trello, or Google Sheets)
– Tracking deadlines and sending reminders
– Assisting with documentation and SOP updates
– Preparing simple status summaries or checklists
– Researching small tasks as assigned
– Organizing files, folders, and shared documents
– Supporting internal initiatives (campaigns, launches, reports)
6. General Administrative Support
– Calendar reminders
– Basic data entry
– Organizing email replies using templates
– Helping process simple reports and spreadsheets
– Any additional tasks assigned by the Operations Manager to support daily operations
Qualifications:
- Good English communication (written + conversational)
- Experience with admin work or customer service
Strong attention to detail - Coachable and willing to learn new tools
- Reliable internet and laptop
- Ability to follow instructions and work independently
- Preferred (but not required)
- Basic CRM experience (GHL, HubSpot, Zoho, etc.)
- Familiarity with project management tools
